International Attendees & Invitation Letters

African Pavilion welcomes delegates, exhibitors, entrepreneurs, investors, creatives, professionals, and cultural participants from around the world to Canada for our annual conference, exhibition, and cultural exchange experience.

To support international attendees requiring a visa to travel to Canada, African Pavilion provides official Invitation Letters to eligible registered participants. 

Invitation Letter Requests

Invitation Letters are available only to attendees who have completed registration and payment requirements for the event.

To request an Invitation Letter, participants must:

  • Complete event registration
  • Pay the required registration fee
  • Submit an Invitation Letter Request Form
  • Provide accurate passport and travel information

Once submitted, requests are reviewed by our team and processed within approximately 4–7 business days.

Please ensure all submitted information matches your passport and travel documents exactly to avoid delays.

Important Visa Information

African Pavilion does not issue IRCC invitation codes.

All attendees are solely responsible for completing their visa applications through the official Canadian immigration process.

Visa processing times vary depending on the applicant’s country of residence and local embassy workload. We strongly recommend applying as early as possible.

Most Canadian Embassies and Consulates advise travelers to apply at least three (3) months before travel dates.

What the Invitation Letter Means

An Invitation Letter from African Pavilion is an official document confirming:

  • Your intention to attend African Pavilion in Canada
  • The purpose of your visit
  • Your participation as an attendee, exhibitor, speaker, sponsor, delegate, or guest

The Invitation Letter is intended only as a supporting document for your visa application.

Important:

Receiving an Invitation Letter does not guarantee visa approval.

All visa decisions are made solely by:

  • Canadian Embassies
  • Consulates
  • Immigration Officers
  • IRCC authorities

These decisions are based entirely on each applicant’s personal eligibility and supporting documentation.

African Pavilion Cannot:

Please note that African Pavilion is unable to:

  • Guarantee visa approval
  • Expedite visa processing
  • Influence embassy decisions
  • Contact embassies or consulates on behalf of applicants
  • Intervene in immigration procedures
  • Provide immigration advice

Applicants are encouraged to ensure they meet all travel and immigration requirements before registering.

Registration & Refund Policy

Non-Refundable Registration Fee

To receive an Invitation Letter, attendees must complete payment of the required $500 registration fee.

Please note:

The $500 registration fee is strictly non-refundable.

This policy applies regardless of:

  • Visa denial
  • Visa delays
  • Failure to obtain a visa
  • Travel restrictions
  • Personal scheduling conflicts
  • Incomplete applications
  • Missed embassy appointments
  • Changes in travel plans

By registering for African Pavilion and requesting an Invitation Letter, participants acknowledge and accept this non-refundable policy. 

Ticket Transfer Policy

If an attendee is unable to attend, ticket transfers may be permitted depending on:

  • Timing of the request
  • Registration status
  • Event capacity
  • Administrative approval

Transfer requests must be submitted in writing to the African Pavilion registration team before the applicable deadline.

Additional administrative fees may apply. 

Why This Policy Exists

Invitation Letters are official event documents issued for legitimate business, cultural, and professional participation purposes.

Administrative processing, verification, coordination, documentation, and event preparation costs are incurred once registration has been completed and an Invitation Letter has been issued.

For this reason, registration fees associated with Invitation Letter processing are non-refundable.
